No. Slope, access, soil, and what’s already there change the price too much for a guess to be fair to anyone. The AI collects the service type, rough lot size, and photos if the customer sends any, then either shares the range you’ve set for that job type or books a site visit. You never end up defending a number the AI made up in a text thread.
02What happens to the AI in the off-season when the phone goes quiet?
It keeps working, because off-season is when next year’s book gets built. Spring quote requests start landing in February, snow leads show up in October and November, and holiday lighting questions hit late October. You can flip the AI into a winter setup, different services offered, longer response windows, in one dashboard change, or text me to pause the account entirely if you shut down for the season. Either way, nothing costs you a cancellation fee.
03Can it answer WSIB or insurance questions from a property manager?
It shares exactly what you’ve confirmed and nothing more. Upload your WSIB clearance and Certificate of Insurance once with the expiry dates, and the AI states those numbers when asked. If either one has lapsed, it says a current copy is coming within a business day and flags it to you, instead of quoting an expired figure. Anything beyond the basics, named-insured changes, additional riders, goes straight to you.
04My crew’s booked solid. Does the AI still say yes to “can you come today”?
No, it checks your actual calendar and offers the next real opening instead. For a genuine emergency, a tree down on a fence, an irrigation line flooding a basement, you set that as interrupt-worthy and the AI texts you directly with the details. Everything else gets the next honest slot or a spot on the cancellation list. It never says “we’ll squeeze you in” unless that’s a phrase you’ve specifically allowed.
05We do hardscape, softscape, maintenance, and snow. Can it actually tell those apart?
Yes, because you define each one at setup with its own price range and season. A patio inquiry gets treated as hardscape and routed to a quoting visit. A weekly cut gets treated as maintenance and can be quoted or booked on the spot if you allow it. Snow only goes into seasonal contracts, not one-off asks. You can also close a service entirely, so the AI stops booking new maintenance clients in June when your routes are already full.
06Someone asks about pesticide or herbicide rules. What does the AI say?
It defers, on purpose. Ontario’s cosmetic pesticide rules and species-at-risk regulations aren’t something a chatbot should interpret, so the AI says that’s a licensed-only question and gets your lead or crew lead to answer directly, then flags the thread for you. Same approach for protected tree removal, landscape lighting wiring, and anything permit-related. The AI’s job is intake, not interpretation.
07Will it get my deposit and payment terms wrong on a big install?
Only if it’s set up wrong, which is on me to catch, not you to fix later. You tell me your standard terms once, deposit to book, a draw at material drop, balance on completion, and the AI repeats those exact terms to every customer who asks. It doesn’t discount, doesn’t accept “pay it all at the end” without flagging you first, and never stores a card number in the chat thread.
08Can it book around weather without me watching it constantly?
Yes, inside the rules you set. Tell it not to book site visits when the forecast calls for heavy rain or hard frost, and it checks before confirming, picking the next workable slot automatically. It also sends a day-before text with a one-tap reschedule link if the forecast turns. What it won’t do is cancel a job the morning of on its own, that call stays yours, because sometimes you push through light rain and sometimes you don’t.
09Most of my leads come from referrals and Facebook already. Why add this?
Because referrals still call after hours. A neighbour gives your name, the homeowner googles you at 9:30pm on a Tuesday, and books or moves on inside about ten minutes. If you’re mid-mow or at dinner, that lead goes to whoever answers next. The AI’s only job is to be there in those ten minutes, take the details, and hand you a clean summary in the morning. It’s not replacing your referrals, it’s catching the ones landing outside business hours.
10What if the AI gets a price or a service wrong, and what does this actually cost?
It only knows what’s in your dashboard, so a wrong number gets fixed once and stays fixed everywhere. Every conversation is logged with a timestamp, so if something goes sideways you can see exactly what was said. A mistake that’s clearly the system’s fault is mine to make right, not yours to eat.
