What actually gets sent

The thread it actually sends.

No voice bot, nobody pretending to be a person on the line. When a call gets missed, your shop number texts back and asks the two or three things a contracting job really turns on, then hands you the answers.

Missed call · text-back intake Sample
  1. Thanks for the message. This is the assistant, answering in writing. What’s going on?

  2. Looking to redo the back of the house.

  3. Is this a renovation or a new build? Do you have drawings yet, and when do you want to start?

  4. Renovation. No drawings yet. Spring, ideally.

Hard rules

What the AI front desk will and will not do.

Three lines it never crosses on a contracting call. The rest is answered below.

  1. Rule 01

Never quotes a firm price without inspection

  2. Rule 02

Never claims permits, WSIB, or a COI for you

  3. Rule 03

Change orders always confirmed by you, in writing

What the AI is allowed to say about contracting.

01Spring is chaos and every lead texts asking how fast you can start. How does the AI handle that without overpromising?
It answers with your real rules, not a guess. The AI can say what a normal timeline looks like for the type of job, ask enough questions to sort urgency from curiosity, and book a site visit or call without ever inventing a start date you haven’t set. If you run emergencies first, new quotes on set days, that’s exactly what it follows, at 7am or midnight. Nobody gets a promise you have to walk back on Monday.
02Will it give a price over text for a kitchen reno or an addition?
No, and it says why instead of dodging the question. Renovation pricing depends on what’s behind the walls, code requirements, materials, and access, so the AI collects photos, rough measurements, and the scope, then books a quote call or site visit. If you have a starting range or a minimum job size, it shares that honestly. What it won’t do is name a number that turns into an argument on site later.
03How does it decide between a phone estimate and an actual site visit?
By the shape of the job, which you define. Small, repeatable work like a deck repair or a door swap can go through a phone-estimate flow if you allow it. Anything with hidden damage, structural questions, water intrusion, or a likely permit gets flagged straight to a site visit. The AI also asks the practical stuff, access, ceiling height, property type, so you’re not wasting a drive on a job that was never a fit.
04Can it answer questions about our permits, WSIB, or Certificate of Insurance?
Only with the exact facts you’ve given it. If a client asks whether a permit is needed, the AI can say that certain work usually requires one and that you’ll confirm for their specific job, without playing building inspector. It can state your WSIB and insurance status if you’ve provided it, but it won’t hand out the actual documents, invent coverage numbers, or promise approval on anything. Compliance paperwork comes from you, always.
05What should the AI never promise a customer on a renovation?
Final price, exact repair method, code compliance, permit approval, or an exact finish date, unless you’ve explicitly told it those numbers. What it can say is what your process actually looks like: inspect first, photos help us scope it, the schedule gets confirmed once we’ve seen the site. That keeps every conversation honest instead of setting up a callback you’ll have to smooth over.
06Jobs run long all the time, weather, suppliers, discoveries mid-project. Does the AI account for that in booking?
It books into the slot type you tell it to use, estimate windows, service blocks, tentative holds, instead of promising a crew will be done by a specific hour. When a customer asks how long their job will take, the AI gives the honest range you’ve set and says the contractor confirms exact timing once work starts. That protects the schedule you actually run, not the one a chatbot invented.
07A pipe bursts at 11pm and it’s not our trade, but the customer texts anyway. What happens?
The AI asks the safety questions first, active leaking, sparking, structural risk, anyone in danger, and tells them to call emergency services or the utility if it’s genuinely that kind of situation. If it’s a job you actually take after hours, it explains your fee up front and gets the details to you. If it’s outside your trade or hours, it captures the lead cleanly for the next business day instead of just going silent.
08Can it screen out leads that are never going to close?
Yes, using the questions you’d ask anyway: location, property type, rough timeline, whether the person texting is actually the decision-maker, and whether the job matches what you do. Low-fit leads get a polite pass instead of a booked site visit you’ll regret. That matters most in peak season, when every hour spent on a bad-fit quote is an hour you didn’t spend on a job you could actually close.
09How does the AI handle deposit and change order questions?
It repeats your actual terms back, word for word, every time, deposit percentage, what triggers the next payment, how change orders get priced. It won’t negotiate a discount, agree to pay it all at the end, or invent a payment schedule you haven’t set. Anything outside your standard terms gets flagged straight to you, because that’s a conversation, not a script.
10We only want certain towns and certain job sizes. Can the AI actually enforce that, and what’s the cost?
Yes, that’s set on day one. You tell me the towns, property types, and minimum job size you want, and anything outside that gets a polite decline or a referral, your choice. The AI never claims a track record it doesn’t have, it just applies the boundary the same way every time. Websites are the product: $800 to build the presence site, $2,000 for the working site, $2,500 for the showcase, then a care plan from $70 a month that covers hosting, security and the changes you ask for. The rest is on the pricing page.
